New Assurant Claims Process

New Assurant Claims Process

We’re pleased to introduce a new automated Assurant claims process. This guide explains how it works and the benefits it brings.

Automated Assurant claims process

There is a new built-in communication and automation between the Mechanic Portal and Assurant, which aims to improve the job submission flows on both sides.

To achieve this, we’ve added a new Parts & Labour area for the claims process:

  • Parts can be selected based on the most appropriate part from the chosen parts supplier ECP.

  • You can use a predefined task list from Haynes Pro to pull through labour hours.

  • There is also a new capability to attach images or text to jobs.

  • We’ve added a ‘submit for approval’ button to submit your job to Assurant.

  • We aim to create a speedier approval turnaround.

The current Assurant warranty process

  1. You can book a warranty claim by Assurant Agent-led bookings or directly via the Online Customer Portal.

  2. Bookings are received in the Mechanic Portal as a new job that has been won.

  3. The mechanic performs a diagnosis and must call Assurant to authorise further work.

  4. The mechanic area does not automate details or communicate with the Assurant system.

New Assurant warranty process

  1. You can book a warranty claim by Assurant Agent-led bookings or directly via the online Customer Portal.

  2. Bookings are received in the Mechanic Portal as a new job that has been won.

  3. The mechanic performs diagnosis and can use the Job Builder to build the cost of repairs.

  4. The job is sent to Assurant via the Portal for approval.

  5. Job approval is received via email and Portal notifications.

Introducing a new warranty area

We’ve added a new dedicated area to manage Assurant jobs. You can accept the jobs using the ‘confirm date’ or ‘suggest new dates’ feature.

What the automated job submission flow looks like

How the parts and labour feature works

First steps on the job builder

  1. Select ‘job sheet’

  2. There is a new diagnostic results area so mechanics can enter a diagnosis code and description on the warranty inspection for that extra detail. The description field is mandatory.

  3. Select ‘open job builder’, where you can add job tasks.

How to add tasks and submit a job

  1. Select ‘job sheet’.

  2. Diagnostic – diagnosis code and description - complete.

  3. ‘Open job builder’.

  4. Search through the categories and select the job task or ‘other’.

  5. Save and fetch jobs.

  6. Diagnostic parts & labour will appear on the page.

What to do if there is no part in the catalogue when using the job builder

If there are no parts in the catalogue, there is an additional feature to build a job with specific labour time and parts manually.

  • The description, part number, brand, price and quantity details must be completed.

  • You can also add tasks to jobs, which includes manually adding parts. Select ‘add part’, enter the manual part details and click ‘confirm’.

How to add images, videos and files to a job

You can now attach images or text to jobs, supporting the Assurant approval process and creating a speedier approval turnaround.

File formats include:

  • Videos (mp4s, 10MB)

  • Images (jpg)

  • Text documents (PDF)

Attachments can be removed if needed before submission, and you will see a new reminder feature pop up asking you to review your submission before you confirm it.

You must add attachments for the following jobs:

  • Brake calliper

  • Dual mass flywheel

  • Clutch assembly

  • Coil Spring/air spring/leaf spring

  • Suspension associated components

  • Alternator

  • EGR valve

  • Injector

  • Chain tensioner

  • Suspension/steering ball joint.

The final step - submit for approval

Once you’re happy, click ‘submit for approval’.

How Assurant will update you on a job

Once you have submitted the job, Assurant will approve it directly via email.
